This Privacy Policy explains how Asctro (“we”, “us”, “our”) collects, uses, discloses and protects personal information when you use our website or contact us through it, including through contact forms, calls and messages.

Who We Are

Asctro is a trading name of Asctro LTD, a company registered in the United Kingdom (company number 10446850), with its registered office at Flat 6, A 79 Allenby Road, Lady Margaret Road, Southall, Middlesex, UB1 2EZ. We work with clients in the UK, US, UAE and Canada. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, Asctro LTD is the controller of personal information collected through this website.

Scope

This policy applies to personal information collected through our website and any pages that link to this policy; online forms such as Contact, Book a Call and Request a Proposal; and email, phone or messaging conversations that begin through the website. It does not automatically apply to personal information we handle for a client under a separate services agreement. In those cases, the agreement and the client’s instructions apply.

Information You Provide

Depending on how you interact with us, you may give us contact details such as your name, email address, phone number, company name and role; enquiry details such as a project summary, budget range, timeline and requirements; the content of messages you send or information you share during calls; and business details such as your website address, platforms used, goals and constraints.

Information We Collect Automatically

When you visit the website we may collect usage data, such as pages viewed, time on page, clicks, referring and exit pages and interaction patterns; device and technical data, such as IP address, browser type, device identifiers, operating system and language settings; approximate location inferred from your IP address, but not precise location unless you choose to share it; and cookie and tracking data collected through cookies, pixels or similar technologies.

How We Use Personal Information

We use personal information to respond to enquiries and communicate with you; assess whether Asctro is the right fit for your request; prepare proposals, schedule calls and manage discussions before a contract; operate, secure and improve the website; monitor analytics and performance, for example to see which pages are useful; prevent fraud, misuse and security incidents; and meet legal obligations and respond to lawful requests.

Where UK GDPR or EU GDPR applies, we rely on one or more of the following legal bases: consent, for example for optional cookies where required; contract, for steps taken at your request before entering a contract; legitimate interests, for example website security, improving our services and responding to business enquiries; and legal obligation, for example lawful requests and compliance requirements.

Cookies and Similar Technologies

We use a small number of cookies and similar technologies. Strictly necessary: we store your cookie choice in your browser (local storage key “asctro-consent”) so that we do not ask you again on every page. Analytics: only if you click Accept, we load Google Analytics 4, which sets cookies such as _ga and _ga_ followed by an identifier to measure how the website is used. Nothing is tracked for analytics unless you accept. You can change your choice at any time using the “Cookie settings” button below, or by clearing this website’s data in your browser. You can also block or delete cookies in your browser settings. Disabling some cookies may affect how the website works.

Sharing and Disclosure

We do not sell your personal information. We share it with service providers who help us run our website and business, under confidentiality and security obligations: Webflow (website hosting and forms), Google (analytics, only with your consent, and calendar and meeting tools) and HubSpot (enquiry management). If you use our website chat assistant, your messages are processed by Anthropic, the AI provider that generates the replies, and the chat service is hosted by Cloudflare. If you choose to leave your details in the chat, they are sent to us by email through Resend. Please do not share sensitive information, passwords or payment details in the chat. We may also share data with professional advisers such as lawyers and accountants where necessary, and with authorities when required by law or legal process, to prevent harm, to investigate fraud, or to enforce our rights.

International Transfers

‍

Asctro operates internationally, and our service providers may process data in countries outside the UK, including the United States. Where required, we use appropriate safeguards for these transfers, such as an adequacy decision, the UK International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.

Data Retention

‍

We keep personal information only for as long as reasonably necessary for the purposes in this policy. Enquiries that do not lead to a contract are kept for up to 24 months after the last contact. Client and contract records are kept for 6 years after the relationship ends, for tax, accounting and legal claim purposes. Website analytics data is kept for no longer than 14 months. If you use our website chat assistant, we ask for your name and email address, and optionally your phone number, before you start. We also note your approximate location, worked out from your IP address, and we email these details and a copy of your conversation to our team so we can follow up on your enquiry. We treat them as an enquiry and keep them as described above. Your conversation is also held in your browser for the length of your visit, and our AI provider handles the messages it processes under its own terms. We delete or anonymise information when it is no longer needed, but may keep it longer if the law requires it or to resolve a dispute.

Security

‍

We use reasonable technical and organisational measures to protect personal information against unauthorised access, alteration, disclosure or destruction. No internet transmission is completely secure, so please avoid sending sensitive information through standard web forms.

Children’s Privacy

‍

The website is not intended for children. We do not knowingly collect personal information from anyone under 16, or under a higher age where local law requires it. If you believe a child has given us personal information, please contact us and we will take appropriate steps to delete it.

Your Rights and Choices

Depending on where you live, you may have the right to access your personal information; correct inaccurate information; request deletion in certain circumstances; restrict or object to processing in certain circumstances; receive your data in a portable format where applicable; and withdraw consent where processing is based on consent. If you are in the UK and are unhappy with how we handle your information, you can also complain to the Information Commissioner’s Office (ico.org.uk).

Do Not Track

Some browsers offer a “Do Not Track” signal. Because there is no consistent industry standard for these signals, we may not respond to them.

We may update this policy from time to time. When we do, we will change the “Last updated” date at the top of this page. By continuing to use the website after an update, you confirm that you have read the updated policy.
